Job description

Our client specialises in the fabrication, erection and protective treatment of high quality steelwork for landmark bridges, highway bridges, railway bridges, footbridges, sign gantries, monopiles, and other heavy structures. They are looking to recruit a Sales Co-ordinator to provide sales support to the the International Division.



The roles involves

• Arrange flight itineraries, obtain most cost effective and workable solution for each trip to be undertaken by any member of the

International Division team

• Obtain visas where required; maintain records of passports

• Arrange overseas and UK hotel accommodation

• Inform Representative and other relevant parties of Sales Managers arrival / departure details

• Communication of messages to Sales Managers whilst overseas

• Entering details into Commercial and Sales diary

• Reconciling expenses upon return of individuals from trips and entering onto Expensys

• Reconciling general non-trip expenses

• Book meeting rooms and arrange lunch and refreshments as required

• Organise document notarisation / legalisation

• Arrange translations where required

• Booking in new enquiries and registering details in PICS and the sales database.

• Assisting with general reporting requirements

• Maintaining photo database

• Mailshots and Powerpoint presentation preparation

• Assisting with tender and quotation preparation / follow up

Conferences / Assisting with Overseas and other Visitors

• Making arrangements for conferences and other off site meetings

• Arrange itineraries for visitors to UK in accordance in accordance with approved Sponsored Travel Request (STR) form

• Book hotel accommodation

• Advise factories of visitors names, designations etc

• Arrange transportation as required

• Book meeting rooms; arrange lunches and refreshments if required

• Organising welcome board; meet and greet

Compliance

• Maintain representative register database, recording all additions / amendments

• Check data with TRACE Status Reports

• Upload details onto intranet

• Maintain paper files on all Representatives on behalf of the Sales and Compliance teams

• Attend regular representative review meetings

• Communicate with Sales Managers to obtain outstanding information

General Office Duties

• Dealing with emails

• Completing weekly timesheets

• Dealing with general correspondence

• Filing, typing & photocopying

• Sending out brochures

• Maintaining stationery stocks

EDUCATION AND TRAINING:

A relevant typing qualification is essential. The successful candidate will be expected to be able to complete allocated tasks unsupervised.

Excellent IT skills are required (Word, Excel, PowerPoint). Knowledge of a second language would be useful but is not essential.
